How to invite a family to collaborate

During this time of “Social Distancing” how can you reassure your families that you’ll be able to provide the same level of support collaborating online as you would in person?

  • The family can start planning anytime, anywhere. They don’t have to be in town or come to the funeral home to begin taking care of the funeral arrangements. They can do this from any location on any device.
  • It’s easy to use. From the simple design to the simple process, families can use this tool for collecting the essential items during one of the most difficult times of their lives.
  • Access to documents and resources they’ll need. Even online they’ll be able to view and approve the obituary, download and sign important documents, and communicate with you through messaging.

So how do you put this all together? Here is an example of what you might say to a family when explaining the value and reason why they should use the Collaboration Center:

Our funeral home has many tools to help you through this difficult time. One we use is our online Collaboration Center.

This is a place where you can begin collecting some of the necessary information we’ll need to plan for your loved one’s service. The nice thing is you can do this from anywhere on any device.

There are also some helpful questions to get you thinking about how we can honor your loved one and make it a healing experience for you. If you get stuck or have questions along the way, there are resources and articles to help guide you. There is also a way to get in touch with me.”

Of course, this is just a guide. Feel free to modify, take out, or alter what you need to make this more comfortable and personal to you.

Tips for Online Planning During the COVID-19 Outbreak:

✔️Offer to have the arrangement meeting over the phone or through video conferencing. Microsoft Teams, Zoom, FaceTime, and Google Hangouts are a just a few of the video conferencing options available.

✔️Upload the contract and other documents the family needs to sign into the Collaboration Center. Have the family download the files, sign, and upload them back into the Collaboration Center.

✔️Offer to have a service with immediate family and consider the option of online streaming for other guests. Facebook Live, YouTube Live, Live, and Open Broadcaster Software offer free online streaming.
